Client Background: The client is an Iowa-based specialty contractor operating across three field-service divisions: Pavement Marking, Traffic Control, Permanent Signs, With approximately 55–60 field employees working across active projects, reliable daily reporting is critical for understanding completed work and supporting downstream project administration and billing.
Business Goals: The business needed a more reliable way to capture daily work performed in the field. Missing or incomplete field information created downstream challenges for project administration. When daily quantities, supporting information or project activity were unavailable, administrative teams had to follow up with field personnel before the work could move toward billing. The goal was to establish a structured digital reporting process that captures project activity closer to when and where the work happens.
Project Objectives: Virtual Coders was engaged to design and develop a web-based Field Reporting System that allows field teams to submit daily project reports, route those reports through configurable approval workflows and provide approved information to project administrators for billing review.
Field reporting sounds simple until it has to reflect how construction projects actually operate.
A single project can involve multiple divisions, and a daily report may need to capture work against multiple bid items rather than one simple quantity.
At the same time, reports cannot move directly from field entry into billing.
The organization needed a controlled process where field information could be:
Captured : by the people closest to the work.
Reviewed : by the appropriate supervisor or manager.
Returned : when information was incomplete or incorrect.
Resubmitted : after corrections.
Approved : before becoming available downstream.
Reviewed for Billing : by project administration.
The challenge was therefore not simply replacing a paper form with a web form.
It was digitizing the operational workflow around field reporting.
Field Workflow Mapping: Understand how field teams currently capture daily work, how reports move through management and what information project administrators require for billing.
Structured Daily Reporting: Create a standardized reporting workflow for capturing project activity, divisions, bid items, quantities, comments and supporting attachments.
Configurable Approval Routing: Design reports to move through the appropriate review and approval process rather than relying on informal communication between field and office teams.
Billing-Ready Information: Ensure approved reports provide project administrators with structured, traceable information that can support downstream billing activities.

Virtual Coders designed and developed a web-based Field Reporting System that connects field activity with management approval and project administration through one structured workflow. Field personnel can create daily reports against the appropriate project and division, record work performed across multiple bid items, enter quantities and provide supporting comments or attachments. Once submitted, reports move through the configured approval process. Managers or designated reviewers can inspect the reported work, approve the submission, add notes or return it when corrections are required. Returned reports can be corrected and resubmitted, preserving a controlled reporting process instead of relying on disconnected calls, messages or paperwork. Once approved, the information becomes available to project administrators for billing review, creating a clearer connection between work completed in the field and the information required in the office.
The platform helps field teams capture daily project activity in a structured digital format and move that information through management approval before it reaches project administration for billing review.
The workflow connects field personnel responsible for daily reporting, managers or designated approvers responsible for reviewing submissions, and project administrators responsible for working with approved project information
Yes. A report can capture work performed against multiple bid items along with their corresponding quantities and supporting information.
Yes. The reporting structure was designed around the contractor’s operations across pavement marking, traffic control and permanent signs, including projects involving multiple divisions.
An approver can return the report with notes. The field team can make the necessary corrections and resubmit it through the approval workflow.
Report status, review activity, comments and workflow history create an audit trail showing how information moved from field submission through approval.
